Still Fixing The File After You Export It?

If getting data out of ClickUp is only the first step, this page is for you. See whether the work you repeat could become a saved DataFlow.

Does This Sound Familiar?

I already export from ClickUp. Why would I need anything else?

You might not. If the native export gives you the file you need and you rarely change it, that may be enough.

DataFlow becomes useful when the same work follows each download: renaming columns, matching related records, changing formats, or combining values. Those repeatable steps can become part of a saved export definition.

It only takes me fifteen minutes. Is that really a problem?

Not necessarily — but check how often you do it. Fifteen minutes on four exports is an hour each month, before anyone else reviews or reworks the file.

If the rules stay mostly the same, saving them may be worthwhile. Compare your actual preparation time with the plan cost and the time you will still spend reviewing the output. (Illustrative calculation, not measured savings.)

I rename the same columns every time. Can I save that?

Yes, that is the kind of repeatable change DataFlow is designed for. Choose the export names and column order once, then reuse them. Client Code can become customer_id in the output without renaming the source field in ClickUp.

My hours and dates never match what finance wants. Does that count?

Yes. Different workflows need different representations: decimal hours, readable durations, date-only values, or timestamps. Choose the supported format for each output column and keep that rule with the DataFlow.

Example: the same 90-minute duration can be 1.50 decimal hours or 01:30 — and you can have separate columns when both are needed.

Can I round time and format it the way my billing process needs?

Yes — use rounding and formatting rules to prepare time values for your workflow: 90 minutes as 1.50 decimal hours, 90 minutes, or 01:30, at the precision you need.

Configure rounding increments such as 5, 6, or 15 minutes and choose round up, down, or nearest. Rounding each entry can differ from rounding the combined total — see the concrete example — so choose the approach your billing agreement requires and preview the result. Output rules never change the original time entries in ClickUp.

Will it fix bad source data or remove every error?

No. Consistent rules can reduce repeated manual edits, but incorrect source values and incorrect mappings still need attention. Preview the output and review important handoffs before relying on them.

The Handoff

The client code is on the task, but I need it beside each time entry. Can that be one file?

That is a useful example of combining related data. Where the connector supports the fields and relationship, DataFlow brings task context alongside the time-entry details in the output.

Preview the result to check that records match correctly and that missing values are handled the way you expect.

I build descriptions by copying several fields together. Can that be automated?

For supported fields and expressions, yes. Save a combined-value rule such as client code + project reference + work item, with your chosen separators — AC-104 | Website | Review without the copy-paste. Set how blanks should be handled, too.

Does it send the data straight into my other app?

V1 is scoped for CSV and Excel output plus supported delivery back into ClickUp. A file can feed a separate import workflow when its structure meets that system's requirements.

Direct delivery to additional systems is Coming Soon. A downloadable file and a direct integration are different capabilities.

Can this run again without me rebuilding it?

That is the point of a saved DataFlow. Reuse it manually or schedule it at a frequency supported by your plan. Run history helps you check the result and identify issues that need attention.

The output still depends on source permissions and valid fields — review your configuration when those change.

Is this a full workspace backup?

No. DataFlow is an export and data-preparation tool. Do not treat a configured export as a complete restorable workspace backup.

The Next Change

We already have a script or custom integration. Why change it?

If it works well and is easy to maintain, you may not need to change it.

Consider DataFlow when that integration mainly prepares recurring exports and small adjustments keep requiring developer time. Supported mappings, formats, and output rules can be changed in the app by the person who understands the business requirement.

DataFlow is not a replacement for every integration or a promise to support every destination.

What happens when a client changes the required format?

Edit the supported column names, formats, filters, or combined values. Preview the revised output and save the definition for future runs.

You do not need to change code for those supported configuration changes. A new connector or capability outside the available controls may still require a product update.

I am the only person who knows how to prepare this file. Would this help?

A saved definition makes the preparation rules explicit: which data to select, what to call the columns, and how to format the values. That reduces reliance on remembering each step from the last export.

V1 accounts have one user — this is not a claim of shared editing or team access.

Do I need to buy Workspace Intelligence or Workbench?

No. Kodavara DataFlow is a standalone application and subscription.

How do I know whether it is worth trying?

Pick one file you prepare repeatedly. Write down what you change after downloading it: columns, formats, matched records, combined descriptions, and filters.

If those steps recur and fit DataFlow's supported controls, that is a good first workflow to explore. Start with an example close to your own process and compare the output you need.

You Do Not Need Another Spreadsheet Routine.

Start with the export you keep fixing. Turn its repeatable preparation into a workflow you can save, review, and change yourself.
